Born-digital ingest

Ingest digital documents while retaining context, format and provenance, with validation before official record registration.

Inputs and starting conditions

Office, email, eForms, business applications, file shares, API, SFTP or repositories through verified connectors. Packages contain manifests, content and metadata.

Workflow and control gates

  1. 01Receive package
  2. 02Validate manifest / format
  3. 03Validate metadata
  4. 04Detect duplicates
  5. 05Register or quarantine

Check file counts, checksums and schemas; retain source identifiers with tenant/project. Identical bytes do not necessarily denote the same business record; policy determines handling.

Exceptions and recovery

Missing files, invalid metadata, unsupported formats or duplicate/replay: quarantine the affected portion, return reasons and retain ingest evidence. Proposed contracts use an idempotency key for retries.

Roles, outputs and states

ResponsibilitiesEvidence and states
Source systems deliver packages; ingest staff resolve exceptions; records managers authorize registration; integration teams verify connectors.SourceRef, package manifests, validation reports, checksums and ingest timelines. States: received → validating → accepted / quarantined; ingest alone is not declaration.

Scenario and acceptance criteria

ILLUSTRATIVE SCENARIO

A digital package has a manifest but a missing file; quarantine it, return item-level errors and retry under the agreed contract.

Complete only when

Files, hashes, metadata and source identifiers agree before registration.

Interfaces for this workflow

Start with a verifiable scope.

Agree record classes, quality criteria, permissions and evidence before scaling.
