Authorized search and access

Find the right record and provide only authorized representations, fields and access periods.

Inputs and starting conditions

Full text/OCR, metadata, facets, tenant/project context, roles, purposes and access requests.

Workflow and control gates

  1. 01Authorized query
  2. 02Filter / select
  3. 03Review request
  4. 04Redact
  5. 05Deliver package

Apply permissions to results, snippets, viewers and downloads. Search indexes are derived; recheck authorization at the authoritative record. Redaction creates a delivery copy without destroying the original.

Exceptions and recovery

Insufficient permission, expired grants or restricted records return appropriate reasons without exposing sensitive metadata. Certified-copy requests require a separate authorized process.

Roles, outputs and states

ResponsibilitiesEvidence and states
Users request access; owners approve; dissemination staff redact; auditors review access.Query/audit, time-bounded approvals, redacted representations, DIP/manifests and delivery receipts. States: requested → approved / denied → delivered → expired.

Scenario and acceptance criteria

ILLUSTRATIVE SCENARIO

Complete only when
