A registered record needs a metadata correction; create an approved, reasoned correction while retaining the previous version.
Official records management
Establish when documents become registered/declared governed records and preserve subsequent change history.
Inputs and starting conditions
Validated documents, metadata, file plan, ownership, retention policy and versions/representations.
Workflow and control gates
- 01Capture
- 02Register
- 03Classify
- 04Declare
- 05Manage lifecycle
RecordID identifies the governed record; ImageID identifies an image. Controlled corrections retain prior versions, reasons and approvals. Metadata and content remain linked with distinct management roles.
Exceptions and recovery
Wrong classification or missing metadata blocks declaration. Changes to declared records use controlled correction; access copies must not silently replace authoritative records.
Roles, outputs and states
| Responsibilities | Evidence and states |
|---|---|
| Records managers approve file plans/declarations; creators request corrections; authorized approvers decide; users access permitted representations. | RecordID, classification/version, declaration receipts, correction lineage and lifecycle timelines. States: captured → registered → declared → managed. |
Scenario and acceptance criteria
Complete only when
RecordID remains stable and version/approval histories are inspectable.
